GuestPro adapts its platform to new traveller registration legislation

After several delays and a lot of uncertainty, at the end of the year the new law on registration of guests in accommodation came into force. As a technology provider, we had to prepare ourselves to help our clients to carry out this process through the platform of the Ministry of the Interior SES.HOSPEDAJES.

At GuestPro we have been aware that this new situation has been a source of confusion among hoteliers and therefore we have dedicated a lot of effort to facilitate compliance. Both our PMS and online check in are prepared for the guest data to follow the new legislation. We have carried out the necessary adaptation work to enable our customers to submit as required by the new regulations.

List of tasks carried out in the GuestPro PMS:

1. Expansion of data to be collected.

First of all, it was necessary to expand the data fields to be collected:

  • Support number
  • Full name
  • Sex
  • Identity document number
  • Document support number
  • Type of document
  • Nationality
  • Date of birth
  • Usual place of residence (full address)
  • Telephone number
  • Mobile phone
  • E-mail address
  • Number of travellers
  • Relationship between travellers (in case of minors)

2. Modifications in the user interfaces.

Both in the PMS and in the guest application or online check-in.

At PMS level, we have developed an ad-hoc view that allows a visual review of the status of all the data to be sent, including both the sending of guest entries and the sending of new bookings (also known as double sending).

3. Aids for the collection of information.

On the one hand, adaptation of existing integrations:

  • gesvi
  • delta
  • icar/mitek

On the other hand, improvements in GuestPro Vision:

  • PMS
  • reception app
  • guest app or online check-in

We have extended the fields we recognise to include the support number and the physical address. We are now able to recognise all the information present in the ID card, and only the postcode needs to be added.

4. Automatic filling in of province and municipality codes.

We perform an automated "macheo" that allows us to free receptionists and users from the need to manually enter the codes required by hostings.

5. Integration with the different regional services.

Adapting the sending format to each of the administrations:

  • SES.HOSPEDAJES
  • Mossos (Catalonia)
  • Ertzaintza (Basque Country)

Next steps.

Once all these modifications have been implemented and assimilated by our clients, the following are still pending:

  • On-the-fly" validation of guest data during the check-in process.
  • Automatic sending to the end-points of the different administrations with the possibility of correcting the data directly from the PMS.
