This collaboration allows accommodations using our PMS to directly digitise document scanning and automatically synchronise all information in a fast and secure way.

What is DocuGuest and how does it transform the front desk?

DocuGuest is an intelligent document scanning solution developed specifically for the hotel and holiday industry. It uses AI to automatically read official identity documents (such as ID card or passport), extract the key information and transfer it immediately to the booking within GuestPro.

The aim of this integration is to:

  • Eliminate repetitive manual tasks at reception.
  • Drastically reduce waiting times and queues.
  • Minimise human transcription errors.
  • Improve the guest experience from the first minute of their stay.

How does the integration with GuestPro work?

The process has been designed to simplify the daily operations of receptionists in the most intuitive way possible. It works in three simple steps:

1. Intelligent scanning

When the guest arrives at the accommodation and presents his or her documentation, the receptionist scans the document. This scanning can be done in two ways:

  • From a compatible Android mobile device or tablet.
  • Through a specialised webcam installed at the reception desk itself.

2. Data extraction by AI

DocuGuest' s Artificial Intelligence processes the image and instantly recognises the information required for the mandatory registration of travellers: name and surname, ID number, support number, address, date of birth, nationality and validity dates of the document. The AI is able to accurately process even those complex fields that often fail in traditional document readers.

3. Immediate synchronisation with the PMS

Once the scanning process is finished (just a couple of seconds), the data is automatically uploaded to GuestPro. The information is directly linked to the booking and the customer's profile, leaving the record complete without the need to manually enter any data.

(To activate scanning within the GuestPro PMS, simply go to Booking → Rooms → Guest and click on the DocuGuest button).

Future-proofed: digital documentation and QR codes

Seeing how the hospitality sector is rapidly moving towards the digitalisation of identities, DocuGuest is already fully compatible with the new digital identification and documentation systems using QR codes; such as MIDNI, the official application that allows you to carry your National Identity Card on your mobile phone.

This functionality, currently available on authorised Android devices, allows GuestPro accommodations to anticipate technological trends and offer a service adapted to the most digital travellers.
